Privacy Policy

This policy describes how Symbiotech LLC ("Symbiotech," "we," "us"), a Michigan limited liability company, handles information on symbiotechai.com and in the course of providing automation, AI integration, and web development services. It is written in plain language on purpose; if anything is unclear, email austin@symbiotechai.com and a person will answer.
1. What we collect
This website is intentionally minimal. It has no user accounts, no sign-up forms, no comment sections, and no advertising trackers.
- Information you send us. If you email us, call us, or book a call, we receive whatever you choose to share — typically your name, contact details, business name, and a description of your business needs.
- Server logs. Our hosting provider (Vercel) automatically records standard technical data when you visit — IP address, browser type, pages requested, and timestamps — for security and reliability. We do not use this data to identify or profile visitors.
- Fonts. This site loads typefaces from Google Fonts, which means your browser sends a standard web request (including your IP address) to Google's font servers when the page loads.
- Client engagement data. If you become a client, you may share business documents, spreadsheets, credentials for systems we integrate with, and similar materials so we can build for you. This is covered in Section 4.
We do not set cookies, run analytics scripts, or embed social media pixels on this site as of the effective date above. If that changes, this policy will be updated first.
2. How we use it
- To respond to your inquiry and, if you engage us, to deliver the work.
- To follow up on a conversation you started (never cold-add you to a mailing list — we don't have one).
- To keep the site secure and functioning.
- To comply with legal obligations, such as tax and accounting records.
We do not sell your personal information, and we do not share it with third parties for their advertising. We never have.
3. How we use AI — and how it touches your data
We are an AI automation company, so this deserves a direct answer rather than a buried clause:
- Internally, we use AI tools (including models from Anthropic and OpenAI) to help draft documents, write software, and summarize our own notes. Content from your emails or calls may be processed by these tools as part of preparing a response or proposal.
- In client work, the systems we build may send data you designate (for example, incoming lead messages or documents you ask us to process) to third-party AI providers to generate replies, summaries, or classifications. Which data, which provider, and what the AI is allowed to do are agreed with you in writing before anything goes live.
- Training: we do not use your data to train our own models, and we use commercial API tiers whose terms state that customer data is not used to train the provider's models. We will not knowingly submit your data to any AI service that claims training rights over it.
- Human accountability: AI output that affects you (a proposal, a system's automated reply, a document produced for your business) is the responsibility of Symbiotech LLC, not "the algorithm." If an AI-assisted process gets something wrong, contact us and a human will fix it.
4. Client data, uploads, and storage
When clients share files or system access with us:
- Materials are stored in access-controlled accounts (Google Workspace, and project-specific cloud storage such as Supabase or Vercel, depending on the engagement). We do not store client materials in shared or public buckets.
- Credentials you give us are used only for the agreed work, are never committed to code repositories, and are stored separately from code.
- We keep engagement materials for the duration of the engagement plus up to 24 months (so we can support what we built), unless our contract with you says otherwise. You can request earlier deletion at any time (Section 7), and we will confirm in writing when it is done.
- If we learn of a data breach affecting your information, we will notify you without undue delay and tell you what happened, what data was involved, and what we are doing about it.
5. Third parties who process data for us
We use a small number of service providers. Each processes data only to provide its service to us:

If an engagement requires additional processors (for example, a telephony or payments provider), they are named in your proposal before we build.
6. Data retention
- Inquiry emails from people who never become clients: deleted or archived within 24 months.
- Client engagement materials: duration of engagement plus up to 24 months (Section 4).
- Records we are legally required to keep (invoices, tax records): as long as the law requires.
- Hosting logs: retained per Vercel's standard schedule, which is outside our control.
7. Your rights
Whoever you are and wherever you live, you can email austin@symbiotechai.com to:
- Ask what personal information we hold about you;
- Ask us to correct or delete it;
- Withdraw consent to further contact;
- Ask questions about anything in this policy.
We respond within 30 days. We do not discriminate against anyone for exercising these rights, and if your state or country grants you additional rights (for example under the California Consumer Privacy Act or the EU General Data Protection Regulation), we will honor them.
8. Children
Our services are for businesses. This site is not directed at children under 16, and we do not knowingly collect their information. If you believe a child has sent us personal information, contact us and we will delete it.
9. Changes to this policy
If we change this policy in a way that matters — new data collection, new categories of third parties, new uses — we will update the date at the top and, for active clients, tell you directly by email. We will not retroactively apply a weaker policy to data collected under a stronger one.
